Rental agencies: measuring and improving fleet utilisation
How to calculate a rental fleet's utilisation rate, read the gaps between cars, and the practical levers to keep every car on the road.

A rental car earns money when it is on the road. So every agency manager asks the same question: what share of the time is each car actually rented? This guide explains how to measure it and what to do with the result.
Utilisation rate, in one formula
A car's utilisation rate over a period is:
days rented ÷ days the car was available to rent
Days in maintenance or off the road after an accident are removed from the denominator: a car in the garage could not be rented. Then calculate the rate for the whole fleet, by category and by car.
Reading the gaps
Averages hide what matters. The useful part is the gaps:
| Situation | What it suggests |
|---|---|
| A category always rented, requests turned down | The fleet lacks cars in that category |
| One car rented far less than similar ones | Its price, photos or condition need a look |
| Many maintenance days on one car | Its real cost may exceed what it earns |
| Idle cars in one branch | They would be better placed in another |
Practical levers
Rates by duration and customer
A weekly or monthly rate fills quiet periods with long rentals. Company-specific rates build a regular customer base. On DriveGo, pricing rules are set per car or per category, by duration and by customer type.
Planning maintenance
Blocking a car for maintenance in a quiet period beats taking it off the road in high season. Each car's calendar shows bookings and blocks side by side.
Listings that make people want to book
Good photos, a known and displayed condition, the included insurance clearly stated: a complete listing rents better than a vague one.
Selling at the right time
A car whose maintenance keeps getting more expensive can be sold. DriveGo lets you publish a fleet car for sale, with its mileage and history.
What DriveGo provides
The agency dashboard shows revenue per car, maintenance and damage expenses, and the live status of every car. Details are on the agencies page, and the agency guide describes every screen.
